W-9 Deadline and FAQ — 2026 Guide
Answers to the most common W-9 questions about deadlines, expiration, and filing.
W-9 Deadline FAQ
The W-9 form is one of the most commonly required documents in the US economy. Despite its importance, many contractors and freelancers are unclear about when and how to submit it.
Does the W-9 Expire?
No. The IRS does not set an expiration date for Form W-9. A previously completed W-9 remains valid until the payee's information changes (name, address, TIN, or tax classification). Many businesses request updated W-9s annually as a best practice.
When Should You Submit a W-9?
Submit your W-9 before your first payment from a new client or payer. This allows them to prepare accurate 1099 forms at year-end and avoid penalties for backup withholding.
What Happens If You Do Not Provide a W-9?
If you are subject to backup withholding and fail to provide a TIN, the payer must withhold 24% of all payments and remit it to the IRS.
W-9 vs 1099: Key Difference
The W-9 is initiated by the payee. The 1099 is initiated by the payer. Understanding this distinction helps both parties stay compliant.
