What Is a W-9 for Freelancers

As a freelancer or independent contractor, whenever you earn $600 or more from a single payer in a tax year, that payer needs your W-9 to prepare a Form 1099-NEC. The W-9 provides your legal name, address, and Taxpayer Identification Number (TIN).

When You Need a W-9

  • Starting a new freelance project with a new client
  • A client or platform requests your tax information
  • When your name, address, or TIN changes
  • When working with new platforms, marketplaces, or agencies

How to Fill Out a W-9 as a Freelancer

  1. Write your full legal name on line 1.
  2. Enter your freelance or business name on line 2 (if different).
  3. Check the box for your tax classification — most freelancers are sole proprietors/individual.
  4. Leave lines 4a and 4b blank unless you qualify for an exemption.
  5. Enter your address on lines 5 and 6.
  6. Enter your SSN on line 7.
  7. Sign and date the form.

Do Freelancers Need Different W-9s for Each Client?

No. One W-9 form can be provided to multiple payers. However, if your information changes, you need to submit updated versions.
